Our client, a top financial service firm, seeks a dependable and efficient Executive/Administrative Assistant to provide support and assistance the CEO in his daily duties and responsibilities.
The ideal candidate must have exceptional organizational skills, a commitment to achieving a high level of accuracy and attention to detail, be intellectual, and be able to think and act autonomously in high-level situations at all times.
Responsibilities:
-Provide direct professional administrative support to executives, including managing emails, personal scheduling, answering phone calls, calendar and client management, travel reservations and other company-related administrative activities
-Manage communication between upper management (executive) and employees, as well as communicate with internal and external personnel on a range of initiatives and tasks
-Provide and ensure detailed calendar and working notes for meeting agendas to ensure the senior executives prioritize are met, organizational goals are achieved, and best practices are upheld
-Perform administrative and office support, such as typing, dictation, spreadsheet creation, and maintenance of filing system and contact database
-Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
-Organize team communications, activities, and plan events, both internally and offsite as required
Qualifications:
-2+ year proven experience as an Executive Assistant or other relevant administrative support experience reporting directly to upper management
-Ability to organize a daily workload by priorities and meet deadlines in a fast-paced quickly changing environment and proven ability to deal with confidential matters and with discretion
-Proactive problem solver with strong communication skills and meticulous attention to detail to perform excellent administrative duties supporting organizational management
-Proficiency in Microsoft Office, Microsoft Excel, Word, PowerPoint and/or other and other office productivity tools, with the aptitude to learn new software and systems
-Professional demeanor, interpersonal skills, and a flexible team player prepared to do everything it takes to complete the task, adaptive, and appreciates a challenge
-Highly motivated, strong time-management skills and the ability to organize and coordinate multiple projects at once
